TRADE REGISTRATION

It is my privilege as the chairperson of the organizing committee for the SAGES 2008 Congress to inform you that progress and arrangements for the congress are proceeding without delay. The following trade representatives have been selected to serve on the organizing committee and you are requested to forward any suggestions on how to improve the conference or any request to anyone of them who will present your enquiry at the following organizing committee meeting.

The South African Gastroenterology Society (SAGES) 2008 Conference will be a combined meeting with the South African Society of Endoscopic Surgeons (SASES) as well as SAGINS and will be held from Friday 8 – Monday 11 August 2008 in Cape Town at the Cape Town International Convention Centre (CTICC). The Centre is centrally placed in close proximity to the Victoria and Alfred Waterfront, arguably the prime tourist destination in South Africa. Please visit the website at http://www.capetownconvention.com for more information on the venue. The area has a large number of hotels, restaurants, shopping centres and other tourist attractions, all within easy reach of the CTICC. From here it is a short drive to the Cape Town International Airport (20 minutes) and to a number of prime tourist spots: Nelson Mandela Gateway (to Robben Island), Table Mountain, Kirstenbosch, Clifton beach, Cape Point and others.

The congress will aim to provide up to date information related to the practice of gastroenterology in the South African context. We aim to host a dynamic congress not to be missed by anyone in the field of gastroenterology. An excellent international faculty is participating including Prof John Nicholls (UK), Dr Jenny Heathcote (Canada), Dr Simon Travis (UK), Prof Wim de Villiers (USA) and Prof Loren Laine (USA). We are delighted that our Mayo colleagues are willing to visit again and we welcome Patrick Kamath, Anton Decker and David Fleischer. The SASES speaker is the world-renowned Prof Guy-Bernard Cadière from Belguim.

A one day GP Gastroenterology Update symposium will be held concurrently with the congress on Saturday 9 August 2008. The international visitors as well as local gastroenterologist will provide a varied programme on all aspects of gastroenterology which would appeal to general practitioners.

A workshop to compliment the theme of the conference will be held on Monday 11 August 2008 at Groote Schuur Hospital. This workshop will cover all aspects of gastroenterological procedures with 4 procedure rooms running parallel with live cases from theatre, laparoscopic and open surgery. We envisage that this workshop will draw a good number of delegates. The lecture theatre at Groote Schuur Hospital can seat 200 pax. A copy of the programme schedule will be available on the website at http://www.sages2008.co.za from 12 November 2007.

The audience we are targeting consists of gastroenterologists, physicians, hepatologists and surgeons. As an important role player in gastroenterology in this country, we want to ensure your involvement. The scientific committee has put together a comprehensive and balanced academic programme and the theme of the conference will be “Trends in Gastroenterology”. The programme will start on Friday 8 August 2008 11:00 with the academic “free papers”.

We would like to extend an invitation to you to join us at this prestigious event on the South African gastroenterology calendar. The organising committee is well aware of the problems experienced by sponsors and exhibitors at previous conferences. The venue that has been decided on was chosen particularly with sponsors and exhibitors in mind. Exhibiting companies can be assured of adequate exposure to congress delegates, as lunch and tea will be served in the exhibition area during dedicated morning and afternoon tea and lunch times. It is also planned to host the opening cocktail party in the exhibition area to coincide with the official opening of the trade exhibition. All exhibitors will be hosted in one major exhibition area of 2 500m2. A floor plan of the exhibition area is attached herewith. Please note that ample tables and chairs will be available for delegates in the exhibition area to sit down during lunch. Please note that stands will be allocated on a first come first served basis. You are therefore requested to complete and return the attached form of intent immediately indicating your first, second and third choice of exhibition stands.

We are aware that companies are operating under tight financial constraints, and endeavor to run a tight budget. As the organizing committee it is our intention to liaise with the trade in an open and amiable manner and curb excessive sponsorship spending.

In addition, we would also like to encourage you to become partners in this venture by becoming a co-sponsor of the congress. We aim to have a meeting of the highest academic standards, to create an opportunity for everyone to acquire cutting edge information about developments in gastroenterology and to do so at a meeting that will long be remembered for its entertaining program. To do this, we will be depending on your support.

All forms of supporting the conference and sponsorship are welcome. It is up to you to decide on your format and the amount of the donation. Entitlement to sponsorship benefits will be in line with the value of your support.

    Companies may choose to sponsor a visiting speaker based on the speaker’s relevant area of expertise. Our confirmed invited speakers for the 2008 congress and the topics that they have agreed to cover are listed below.

    It is envisaged that this form of sponsorship will include the projection of company logo and advertising during each congress session. This will be managed from the central preview room and distributed to all applicable lecture venues as per the program.
  7. Exhibition stand area (3m x 3m) (shell scheme optional at an extra cost) with payment before 30 April 2008 = R20 000,00
    The first 35 companies to book and pay for their exhibition stands will be allocated a complimentary table of 10 pax at the conference dinner. A maximum of two representatives can be seated at the complimentary table. It will be the company’s responsibility to invite conference guests to their table and to ensure that the seats are taken up.
  8. Exhibition stand area (3m x 3m) (shell scheme optional at an extra cost) with payment after 30 April 2008 = R25 000,00
  9. Sponsorship of a table at the conference dinner = R5000,00 per table Only companies who are exhibiting will be allowed to buy sponsorship for additional tables.
  10. Conference daily newsletter
  11. Parking voucher sponsorship (Approximately R30 000)
    This would allow delegates parking fees at the CTICC to be covered by a sponsoring company. These vouchers may be provided from the sponsoring company’s exhibition stand on a daily basis.
  12. Participation and/or contribution to the workshop at Groote Schuur Hospital on Monday 11 August 2008.
  13. Contribution to the GP workshop on Saturday 9 August 2008.
  14. Sponsorship of a prize to the value of R12 000 to cover costs to attend ASSA-SAGES 2009. This will include the flights, accommodation and registration fee for attendance to ASSA-SAGES 2009. These prizes will be drawn at the last session of the conference and only delegates present will be eligible for the prize. We hope to make 10 of these prizes available.
